Boolbase (“Boolbase”, “we”, “us”, “our”) is a technology company registered in England and Wales. We operate the website at boolbase.co.uk and the BoolCare platform at care.boolbase.co.uk.

2. What Data We Collect

2.1 Website visitors (boolbase.co.uk)

  • Analytics data (page views, referrer, browser type) — collected anonymously via Vercel Analytics
  • Contact form submissions — name, email, organisation, role, message
  • No cookies are set beyond technically necessary session management

2.2 BoolCare platform users (care.boolbase.co.uk)

  • Account information — name, email address, role
  • Resident care data entered by your organisation — stored under your organisational account
  • AI query logs — anonymised, used for service improvement only
  • Authentication tokens — stored securely server-side

3. How We Use Your Data

  • To respond to contact form enquiries
  • To provide and improve the BoolCare service
  • To send service-related communications (never marketing without consent)
  • To maintain security and comply with legal obligations
  • To generate anonymised usage analytics for product improvement

4. Legal Basis for Processing

  • Contact forms: Legitimate interests (responding to your request)
  • BoolCare service data: Contract performance (providing the agreed service)
  • Analytics: Legitimate interests (understanding how our products are used)

5. Data Sharing

We do not sell your personal data. We share data only with:

  • Vercel — hosting provider (UK/EU data centres)
  • Supabase — database provider (UK region for BoolCare)
  • Resend — email delivery for contact form responses
  • OpenAI — AI processing for BoolCare features (data processed under OpenAI's data processing agreement; not used for training)

6. Data Retention

  • Contact form data: 2 years from submission, then deleted
  • BoolCare account data: Retained for the duration of your subscription plus 30 days after cancellation
  • Analytics data: Aggregated, never linked to individuals

7. Your Rights (UK GDPR)

Under UK GDPR, you have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request erasure (“right to be forgotten”)
  • Restrict processing
  • Data portability
  • Object to processing

8. Cookies

The marketing website (boolbase.co.uk) uses no tracking cookies. Vercel Analytics collects anonymous usage data without cookies. The BoolCare app uses technically necessary session cookies only.

We will notify active BoolCare subscribers of material changes by email with at least 14 days’ notice. The “last updated” date at the top of this page reflects the most recent revision.
